    How do I record an Offline Credit Card refund?

    Topic:

    I processed a credit card refund through my merchant gateway's user interface (not through RegOnline). How can I record this transaction in RegOnline?

    Solution:

    When you process a credit card transaction "offline" or directly through your Merchant Account and not through RegOnline, then the transaction will not be recorded on the registrant's transaction record in RegOnline.  So, in order to balance the registrant's transactions, you will need to record the transaction manually. 

    To record the refund:

    1. Find and edit the registrant's record to open the Attendee Info. window.
    2. Click the Transaction icon on the left sidebar and verify that there is a balance owed (balance due is indicated in Red). 
    3. Click the New Transaction link in the upper right corner.  This will open the New Transactions window.
      • If the attendee does not have a negative balance (indicated in red), then you will should create a manual revenue adjustment (credit) first. Show me how...
    4. Select the option to Enter a manual (offline) refund
    5. Click Next
    6. Enter the amount of the refund
    7. Click Save and Close

    Additional Information:

    Offline Credit card refunds entered with this process will simply record the transaction on the attendee's record to adjust the balance, but WILL NOT charge the attendee's credit card online.
