How can an online credit card transaction be voided once it has been processed?
Solution:
When an online credit card transaction (charge or refund) is processed through a Merchant Gateway, then it can also be voided or deleted from the Gateway before it is settled through a Merchant Bank Account or shows up on an attendee's credit card statement. Once the transaction is settled with the bank or financial institution, however, then the transaction can not be voided.
If you are using your own Merchant Gateway to process online credit card transactions through RegOnline, then this action will have to be processed through your Gateway. You can usually do this through an online web interface or by contacting your Merchant Gateway provider directly.
If you are using the RegOnline Merchant Gateway to process online credit card transactions, then you will have the option to void the transaction directly on an attendee record before the transaction settles.
To do so:
- Find and edit the attendee's registration record. This will open the Attendee Info window for the registrant.
- Click the Transactions button in the left side-bar.
- Click the Void button next to the desired credit card transaction.
- Once the transaction has settled, then the Void button will change to a Refund button.
- Select Yes, Void the amount above and click Continue.
Additional Information:
- Transactions processed through the RegOnline Merchant Gateway are usually settled with the bank at 9pm EST M-F for USD transactions and 8pm EST M-F for international currencies. Once the the transaction settles, then you will have to process the transaction as a Refund instead of a Void.
- For customers using the RegOnline Merchant Gateway, you cannot void a refund.
