&lt;p&gt;RegMail is an email broadcast tool available in your RegOnline account. Using RegMail you can create email content, upload mailing lists, and schedule email jobs to go out at specific times. However any email content that you create in RegMail can be sent from standard and custom reports throughout your account. This can be useful since you can create email content once as a template and use it for many purposes or even different events.&lt;/p&gt;
&lt;p&gt;To create RegMail email content:&lt;/p&gt;
&lt;ol&gt;
&lt;li&gt;In the RegOnline Manager, click on the &lt;strong&gt;RegMail&lt;/strong&gt; link from the left-hand side bar or navigation tree. 
&lt;/li&gt;&lt;li&gt;Click on the &lt;strong&gt;Content&lt;/strong&gt; section. 
&lt;/li&gt;&lt;li&gt;Click on the &lt;strong&gt;Create New Email Content&lt;/strong&gt; link. This will open the email content window. 
&lt;/li&gt;&lt;li&gt;On the General Tab fill out the following required fields: 
&lt;ul&gt;
&lt;li&gt;&lt;strong&gt;Content Name - &lt;/strong&gt;Enter a name or description for this email content or template. 
&lt;/li&gt;&lt;li&gt;&lt;strong&gt;Subject - &lt;/strong&gt;Enter the text that you would like to display in the subject line of the email.&lt;/li&gt;&lt;/ul&gt;
&lt;/li&gt;&lt;li&gt;Click on the &lt;strong&gt;HTML&lt;/strong&gt; tab. This is where you will compose your email content. 
&lt;/li&gt;&lt;li&gt;Use the HTML Content Editor to compose your email and add your content. 
&lt;ul&gt;
&lt;li&gt;&lt;em&gt;See the related links below for further assistance using the HTML Content Editor and adding Merge Codes in your email.&lt;/em&gt;&lt;/li&gt;&lt;/ul&gt;
&lt;/li&gt;&lt;li&gt;Click &lt;strong&gt;Apply&lt;/strong&gt; to save and stay or &lt;strong&gt;OK&lt;/strong&gt; to save and close the window.

&lt;p&gt;Once you have composed your email in HTML format, then you can copy/paste the content into the Text version. This is an optional step, but allows you to set up a Text Only version that can be sent to people that, for some reason or another, can not receive HTML content in their email program.&lt;/p&gt;

&lt;li&gt;Highlight and copy the finished content from the &lt;strong&gt;HTML&lt;/strong&gt; Tab. 
&lt;ul&gt;
&lt;li&gt;Use &lt;strong&gt;Ctrl-C&lt;/strong&gt; on your keyboard to copy the content.&lt;/li&gt;&lt;/ul&gt;
&lt;/li&gt;&lt;li&gt;Click on the &lt;strong&gt;Text&lt;/strong&gt; tab. 
&lt;/li&gt;&lt;li&gt;Use &lt;strong&gt;Ctrl-V&lt;/strong&gt; to paste the content into this section.

&lt;li&gt;Remember that links will not work in a Text Only email. So provide full URL's that recipients can copy into their browser, if necessary.&lt;/li&gt;&lt;/ul&gt;

&lt;P dir=ltr&gt;The only thing Opt-Out should do is mark the person's profile on the Mailing List as "opt-out", showing that they do not want to receive email jobs.&amp;nbsp; It should do nothing to their registration, and it should not remove them from anything.&amp;nbsp; &lt;/P&gt;
&lt;P dir=ltr&gt;If your new mailing list is a filtered list, then&amp;nbsp;the opt-out is attached to the profile and a new filtered list is just grabbing a new bunch of profiles from the Master list.&lt;BR&gt;&amp;nbsp;&lt;BR&gt;If your new mailing list is a custom list, then that means you uploaded new profiles, so you may end up with more than one profile for the same email address, and the opt-out will only be attached to the old one...&lt;/P&gt;&lt;/BLOCKQUOTE&gt;

&lt;P&gt;This is a perfect job for the &lt;A HREF="/forums/post/632.aspx"&gt;RegOnline RSVP functionality&lt;/A&gt;! But since you asked this question (or are viewing this posting) let’s assume that it wasn’t implemented for this event. If you did use RSVP for this event. If you didn’t, don’t worry… all is not lost.&lt;/P&gt;
&lt;P&gt;RegOnline has an Excel spreadsheet template designed specifically for the purpose of comparing a mailing list to your event attendees. This spreadsheet, while not as simple as RSVP, cross-checks the email address and name on a mailing list with the people who have registered for your event. In order to use this spreadsheet, you’ll need to have a total of three Excel spreadsheets – your mailing list of invitees, a list of those people who’ve registered for your event, and a template spreadsheet to compare the two and determine who has not yet registered.&lt;/P&gt;
&lt;P&gt;First, you’ll need to do a bit of prep work.&lt;/P&gt;
&lt;UL&gt;
&lt;LI&gt;Open your mailing list of invitees and make sure that all records have an email address.&amp;nbsp; 
&lt;LI&gt;&lt;A href="/forums/docs/MailingListComparisonTemplate.xls" target=_blank&gt;&lt;STRONG&gt;Download the comparison template Excel spreadsheet&lt;/STRONG&gt;&lt;/A&gt; to your PC.&amp;nbsp; 
&lt;LI&gt;Create a mailing list of the people who are already registered for your event. To do so: 
&lt;OL&gt;
&lt;LI&gt;Sign on to RegOnline, click on &lt;STRONG&gt;RegMail&lt;/STRONG&gt; in the left side folder list, and then click &lt;STRONG&gt;Mailing Lists&lt;/STRONG&gt;. 
&lt;LI&gt;Click the &lt;STRONG&gt;Create a New Mailing List&lt;/STRONG&gt; button. The Create Mailing List window displays. 
&lt;LI&gt;Make the following entries: 
&lt;UL&gt;
&lt;LI&gt;&lt;STRONG&gt;List Name&lt;/STRONG&gt; – The name for this mailing list 
&lt;LI&gt;&lt;STRONG&gt;List Type&lt;/STRONG&gt; – Select &lt;STRONG&gt;Event Attendees&lt;/STRONG&gt; from the dropdown list; when this option is selected, a new tab titled Events displays in this window.&lt;/LI&gt;&lt;/UL&gt;
&lt;LI&gt;Click the &lt;STRONG&gt;Apply&lt;/STRONG&gt; button, then click the &lt;STRONG&gt;Events &lt;/STRONG&gt;tab. 
&lt;LI&gt;Select your event from the Available Events (left) column, then click the right arrow button &lt;STRONG&gt;(&amp;gt;) &lt;/STRONG&gt;to add it to the Chosen Events column.&amp;nbsp; 
&lt;LI&gt;Click &lt;STRONG&gt;OK&lt;/STRONG&gt; to save your list and return to the Mailing Lists screen. Your new list is added to the mailing lists shown in this window. 
&lt;LI&gt;Find your mailing list and click the&lt;STRONG&gt; Download&lt;/STRONG&gt; icon. At the second prompt click the &lt;STRONG&gt;Download Now&lt;/STRONG&gt; button to download your list. Save the list to your PC so we can use it in the next step.&lt;/LI&gt;&lt;/OL&gt;&lt;/LI&gt;&lt;/UL&gt;
&lt;P&gt;Now you should have two Excel-based mailing lists – your list of invitees, and a list of people who actually have registered for this event so far. In addition, you’ll also need the &lt;A href="/forums/docs/MailingListComparisonTemplate.xls" target=_blank&gt;&lt;STRONG&gt;mailing list comparison template file&lt;/STRONG&gt;&lt;/A&gt;. &lt;/P&gt;
&lt;P&gt;Now that you have all the information, let’s take a quick look at the mailing list comparison template. You’ll see that there are five columns in this file – three for your invitee mailing list (email, first name, last name), one for the email address of the individuals who have registered for the event, and a column that shows whether this person is registered for the event. &lt;/P&gt;
&lt;P&gt;To use the mailing list comparison template to see who still needs to register for your event:&lt;/P&gt;
&lt;OL&gt;
&lt;LI&gt;Open the comparison template file and your mailing list file. 
&lt;LI&gt;In your mailing list file, click and drag from the first email address to the last one and click Copy (Ctrl-C). &lt;/LI&gt;
&lt;UL&gt;
&lt;LI&gt;Note that if you also want to copy the first and last name to the template file, drag across those columns and copy them as well. &lt;/LI&gt;&lt;/UL&gt;
&lt;LI&gt;In your template file, click in the first empty cell in the Column A (header says “Email from my mailing list of invitees”) and click Paste (Ctrl-V). All of the email addresses are added to the template file. If you copied the first/last names, paste those into columns B and C, respectively, in the template file. 
&lt;LI&gt;Now close your mailing list file and open your list of event attendees. (Keep the template file open.) 
&lt;LI&gt;Copy the email address from your event attendees file to column D (header says “Email that was used to register for this event”) in the template file. 
&lt;LI&gt;Close your list of event attendees. 
&lt;LI&gt;Check the entry in column E of the template file (“Invitee has NOT registered”). Where the value in this column reads TRUE, this attendee has &lt;EM&gt;not&lt;/EM&gt; registered for your event. You can now send a follow-up email to just those people.&lt;/LI&gt;&lt;/OL&gt;&lt;/BLOCKQUOTE&gt;

&lt;P&gt;There are two ways to add attachments to emails in RegOnline. The easiest way to add an attachment to an email is to use the Document Manager tool located in the HTML Content editor when you are composing the email.&lt;/P&gt;
&lt;P&gt;To do this:&lt;/P&gt;
&lt;OL&gt;
&lt;LI&gt;Edit the email that you wish to add the attachement to (or create a new one). 
&lt;LI&gt;In the HTML Content Editor, enter the text you wish to use as a link. 
&lt;UL&gt;
&lt;LI&gt;&lt;EM&gt;For example:&lt;/EM&gt; "Click here to download the document."&amp;nbsp; &lt;/LI&gt;&lt;/UL&gt;
&lt;LI&gt;Using your mouse, highlight the text you wish to be the link that registrants click on to download the document. 
&lt;LI&gt;While this text is highlighted, click the &lt;STRONG&gt;Document Manager&lt;/STRONG&gt; icon &lt;IMG src="/forums/images/documentmanagericon.gif"&gt; from the toolbar at the top of the HTML Content Editor. 
&lt;LI&gt;In the Document Manager window, click the&amp;nbsp;&lt;STRONG&gt;Upload Document&lt;/STRONG&gt; tab.
&lt;LI&gt;Browse for your document on your own computer, and double-click on the document to select it. 
&lt;LI&gt;Click the &lt;STRONG&gt;Upload &lt;/STRONG&gt;button. This will take you to the Browse Files tab. Your document will now display in the list at the left.&amp;nbsp; 
&lt;LI&gt;Click the &lt;STRONG&gt;Insert&lt;/STRONG&gt; button to the right. Your highlighted text should now be underlined indicating that a link has been created from that text to your document. 
&lt;LI&gt;Save your changes.&lt;/LI&gt;&lt;/OL&gt;
&lt;P&gt;You can also attach a file or document to an email on the Attachments Tab when creating email content in RegMail. This will attach a file to an email in the traditional manner rather than creating a hyperlink to it in your email body. &lt;/P&gt;

&lt;p&gt;You can add Room Types to any Hotel in your account to allow registrants to select a custom room type during registration. To use a room type in your event, you first need to add that room type for this hotel. &lt;/p&gt;

&lt;li&gt;Edit your Event.&lt;/li&gt;&lt;li&gt;Click on the Lodging &amp;amp; Travel section.&lt;/li&gt;&lt;li&gt;Click on the title of the Hotel you wish to add room types to. &lt;br&gt;&lt;/li&gt;&lt;li&gt;Click the&lt;strong&gt; Room Types&lt;/strong&gt; tab.

&lt;p&gt;When you send an email using the RSVP merge field, the recipient will receive the email with a link that reads “Click here to RSVP”. When they click the link, they will be taken to a page that asks if they plan to attend this event, Yes or No or Undecided.&lt;/p&gt;
&lt;ul&gt;
&lt;li&gt;If they answer Yes, they’ll be taken to the registration start page for your event. 
&lt;/li&gt;&lt;li&gt;If they answer No, their response will be logged and they will be given an option to let you know why they can not attend. 
&lt;ul&gt;
&lt;li&gt;The invitee's reason for declining the invitation will be automatically emailed to the Contact Email Address listed on the event.&lt;/li&gt;&lt;/ul&gt;&lt;/li&gt;&lt;/ul&gt;
&lt;p&gt;In either case, you (the event admin) can then run an RSVP report in the RegMail system to track the number of people who have responded Yes, No or Undecided, and how many have registered for the event.&lt;/p&gt;
&lt;p&gt;&lt;b&gt;To send an email with the RSVP functionality:&amp;nbsp;&lt;/b&gt;&lt;/p&gt;
&lt;ol&gt;
&lt;li&gt;Create your content and include the merge field called “RSVP (Invitation)” in the Other Merge dropdown.&amp;nbsp; 
&lt;/li&gt;&lt;li&gt;Create and/or &lt;a href="/forums/post/248.aspx" target="_blank"&gt;upload a mailing list.&lt;/a&gt;&lt;i&gt;.&lt;/i&gt; 
&lt;/li&gt;&lt;li&gt;When you schedule the job in the RegMail system, select the event from the Form: dropdown list. This will send the email job as an RSVP, enabling the next steps for the user. 
&lt;/li&gt;&lt;li&gt;When the email is received, the user can click the link to respond. As mentioned above, a Yes answer takes him/her to your form; a No answer is logged in our system.&lt;/li&gt;&lt;/ol&gt;

&lt;P&gt;The Master List is a list of everybody who has registered or attempted to register for one of your forms (events, memberships, etc.), as well as anybody that is on any of your mailing lists. &lt;/P&gt;
&lt;P&gt;About the Master List:&amp;nbsp;&lt;/P&gt;
&lt;UL&gt;
&lt;LI&gt;Think of it as a “bucket” into which all of your account activity goes.&amp;nbsp; 
&lt;LI&gt;You cannot email directly to the Master List, though you can create filtered lists from it based on filter criteria.&amp;nbsp; 
&lt;LI&gt;You cannot make changes to the Master List -- such as remove someone from it, change an email address, or flag an email as bad – but you can download the Master List, change information in the download, then upload that list as a new custom list.&lt;/LI&gt;&lt;/UL&gt;&lt;/BLOCKQUOTE&gt;

&lt;P dir=ltr&gt;Once a job has been scheduled in RegMail, then you can view and even make changes to that job as long as it has not already been sent.&lt;/P&gt;
&lt;P dir=ltr&gt;To do so:&lt;/P&gt;
&lt;OL&gt;
&lt;LI&gt;
&lt;DIV&gt;In the RegOnline Manager, select &lt;STRONG&gt;RegMail&lt;/STRONG&gt; from the folder list on the left-hand navigation bar.&lt;/DIV&gt;&lt;/LI&gt;
&lt;LI&gt;
&lt;DIV&gt;Click on &lt;STRONG&gt;Jobs&lt;/STRONG&gt;. A list will appear of all of your jobs, including those with a send date in the future. The date you have selected to send the email is listed in the Scheduled column. &lt;/DIV&gt;&lt;/LI&gt;
&lt;LI&gt;
&lt;DIV&gt;To edit the job details,&amp;nbsp;click on the &lt;STRONG&gt;Job ID number.&lt;/STRONG&gt; The RegMail Job information window will open. &lt;/DIV&gt;&lt;/LI&gt;

&lt;LI&gt;
&lt;DIV&gt;A job that has already been submitted or set to a "Queued" status can not be modified. You must first click the &lt;STRONG&gt;Cancel&lt;/STRONG&gt; icon to change the job status to "Not Queued" before you can edit the job information.&lt;/DIV&gt;&lt;/LI&gt;&lt;/UL&gt;
&lt;LI&gt;
&lt;DIV&gt;Make any desired changes to the job details. &lt;/DIV&gt;&lt;/LI&gt;
&lt;LI&gt;
&lt;DIV&gt;Click &lt;STRONG&gt;Apply&lt;/STRONG&gt; to save and stay or &lt;STRONG&gt;OK&lt;/STRONG&gt; to save and exit. &lt;/DIV&gt;&lt;/LI&gt;

&lt;DIV&gt;To schedule the job, click the &lt;STRONG&gt;Submit&lt;/STRONG&gt; icon in the Submit column. The status of the RegMail job will change from "Not Queued" to "Queued" indicating that it will be sent on the date specified.&lt;/DIV&gt;&lt;/LI&gt;&lt;/OL&gt;&lt;/BLOCKQUOTE&gt;

&lt;p&gt;Before you attempt to upload a mailing list to RegMail (the RegOnline email system), you’ll need to make sure that your mailing list meets the following set of parameters and considerations:&lt;/p&gt;
&lt;ul&gt;
&lt;li&gt;&lt;strong&gt;Supported file formats&lt;/strong&gt; – Your mailing list file must be in one of two file formats: 
&lt;ul&gt;
&lt;li&gt;CSV (comma separated values) file format. On most Windows PCs with Microsoft Office installed, this type of file opens in Excel. This is the most common file format for upload, so this format is used in the examples below. 
&lt;/li&gt;&lt;li&gt;Comma-delimited TXT file. This is a text file that uses&amp;nbsp;a comma to separate each column of data.&lt;/li&gt;&lt;/ul&gt;
&lt;/li&gt;&lt;li&gt;&lt;strong&gt;Header row&lt;/strong&gt; – This is the first row of data in your file and it indicates to the RegMail system that the data below it (in subsequent rows) is an email address or first name, for example. The data in the Header Row must be valid and in the correct order. 
&lt;ul&gt;
&lt;li&gt;&lt;em&gt;See the About the Header Row section below for details.&lt;/em&gt; &lt;/li&gt;&lt;/ul&gt;

&lt;p&gt;When a mailing list is uploaded, RegOnline will look at the header (first) row in your file to indicate where that information should be stored in the database. For example, the header ‘Email’ tells the RegMail system that the data in the rows below it (rows 2 through your last row of data) is the user’s email address. RegMail then inserts that data into the Email field of the database. &lt;/p&gt;
&lt;p&gt;Because the header row is used to identify what piece of data follows, the header must be an exact match for our database, including the use of capital letter(s) and the order of the rows. For example, if the first header field is called E-mail (with a dash), Email Address, email, etc., then RegMail will not upload the mailing list because it can’t correlate this header with the database field. &lt;/p&gt;
&lt;p&gt;Below is a complete list of header row entries that are valid for your mailing list. While you may not have all of these fields in your list, the ones that you do have must exactly match the names of the valid header rows.&lt;/p&gt;
&lt;p&gt;&lt;em&gt;Example&lt;/em&gt;: Suppose your list has just an email address, first name, and last name. In your header row, the cells&amp;nbsp;from left to right should be&amp;nbsp;as shown below:&lt;/p&gt;

&lt;p&gt;Email&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;FirstName&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;LastName&lt;/p&gt;&lt;/blockquote&gt;
&lt;p&gt;Note that the Email field must be the in the first column, but the FirstName and LastName can be in any order.&amp;nbsp;See the Sample Files section below for a sample file that contains the properly formatted header information and data.&lt;/p&gt;&lt;/blockquote&gt;

&lt;p&gt;The list below contains the valid entries for the header (first) row fields that you can upload into a mailing list. As mentioned above, these headers must be in the first row of your CSV file, and the Email field must be the first column (other fields can be in any order). If you don’t need a field (such as OptOut, etc.) just skip it and go to the next one that you do have.&lt;/p&gt;

&lt;p&gt;&lt;strong&gt;&lt;em&gt;Other considerations&lt;/em&gt; –&lt;/strong&gt; &lt;/p&gt;
&lt;ul&gt;
&lt;li&gt;The email address is required for all records, so every record in your file must have an entry in the Email field. 
&lt;/li&gt;&lt;li&gt;Each record must be on a separate line. If your data file does not have a specific field (such as CCEmail or OptOut), just skip that field and go to the next field that you do have. 
&lt;/li&gt;&lt;li&gt;If you’re using Excel to create/modify your mailing list, you can go to the end of the file by clicking Ctrl-End on your keyboard. If the end of the file is past the last record in your list, you'll need to delete the extra lines. Go to the first blank line after your last record, click the row number (to highlight the row), drag downward to beyond the end of your file, then click Delete. This will delete all extra characters in these rows. Do the same thing for any extra columns in your CSV file, save the file, and upload again. &lt;/li&gt;&lt;/ul&gt;
&lt;p&gt;&lt;strong&gt;&lt;em&gt;Sample files&lt;/em&gt; –&lt;/strong&gt; &lt;/p&gt;

&lt;p&gt;Download a &lt;a href="/forums/docs/StarterMailingList248.csv"&gt;“starter” CSV file&lt;/a&gt; that has all of the headers in place for you. You can delete the columns you don’t need, and then copy your data into the appropriate columns.&lt;/p&gt;&lt;/blockquote&gt;
&lt;p&gt;&lt;strong&gt;To create a new mailing list&lt;/strong&gt;:&lt;/p&gt;
&lt;ol&gt;
&lt;li&gt;In the Manager screen, click on the RegMail folder and select Mailing Lists. 
&lt;/li&gt;&lt;li&gt;Click the Create a New Mailing List button. A new window displays where you can enter the information about this list. 
&lt;/li&gt;&lt;li&gt;Make the following entries: 
&lt;ul&gt;
&lt;li&gt;&lt;strong&gt;Name&lt;/strong&gt; – The name to display in the Mailing Lists window for this list. 
&lt;/li&gt;&lt;li&gt;&lt;strong&gt;List Type&lt;/strong&gt; – Custom List &lt;/li&gt;&lt;/ul&gt;
&lt;/li&gt;&lt;li&gt;Click OK to save your mailing list and return to the Mailing Lists screen. Your new list is shown here, but the list itself is still empty, so follow the steps below to populate this list with your data.&lt;/li&gt;&lt;/ol&gt;
&lt;p&gt;&lt;strong&gt;To upload your data into your mailing list&lt;/strong&gt;:&lt;/p&gt;
&lt;ol&gt;
&lt;li&gt;In the Mailing Lists window, click the Upload icon. The Upload List Members window displays. 
&lt;/li&gt;&lt;li&gt;Click the Browse button and select the file on your computer. 
&lt;/li&gt;&lt;li&gt;Click OK to upload your data. If the upload was successful, a window displays indicating how many records were added. &lt;/li&gt;&lt;/ol&gt;&lt;/blockquote&gt;
