Common Questions:

How do I select the renewal frequency for my membership?

How do I set a fixed renewal date in my membership?

How do I use auto-renewal in my membership?

How do I set a promotional period at the beginning of a membership?

Field Descriptions:

Renewal Frequency - Select how frequently your members must renew their membership. This option cannot be changed once your Membership has been Activated. Choose from:

Monthly

Quarterly

Annually

Semi-Annually

Enable Fixed Renewal Date - Select if you wish to require all members to renew on a specified date, instead of renewing based on a selected Renewal Frequency. Example: If this option is selected, and a renewal date of September 20th is entered, all members (including anyone that signed up on September 19th) will be required to renew their membership on September 20th of each year. It is common to prorate your membership fees when using a Fixed Renewal Date. This option cannot be changed once your Membership has been Activated.

Auto-Renewal - Display an "Automatically Renew my Membership" option during registration. If selected, the registrant's membership will be renewed automatically on the renewal date. If the registrant has paid by credit card, their card will be charged any applicable upon renewal. If the registrant has paid by another method, you must collect payment manually following the automatic renewal. This option functions best when credit cards are your only payment option. This option cannot be changed once your Membership has been Activated.

Promotional Period Length - Give your new members a number of days free before having to pay any recurring membership fees. More information can be found here. This option cannot be changed once your Membership has been Activated.

This option becomes available when you have already sent an Email Invitation to a specific Contact List, and you would like to send a second Email Invitation to the same Contact List. Select this option to exclude contacts that have already declined the previous registration as well as exclude any contacts that registered for the event after receiving the initial Email Invitation.

How can I view who unsubscribed or opted out from my Invitation Emails?

Solution:

The Opt Out Report allows you to view a complete list of those who have unsubscribed, as well as allowing you to manually unsubscribe a contact if needed.

To unsubscribe a contact:

Open the Opt Out Report.

Enter the full or partial email address of the contact your wish to unsubscribe into the Search box.

Click the Search button. The results will appear below. Emails listed in gray have already been unsubscribed.

To unsubscribe a contact, click their email address.

Please note that this action is permanent. Once a contact is unsubscribed they will not receive any future Invitation Emails (they will continue to receive Confirmation Emails if they register for one of your events). Also, once a contact is unsubscribed you will be unable to include them in any future Contact Lists.

Click OK to confirm your decision.

This step allows you to filter out any unneeded registrants from your Contact List. If you wanted to remove all Cancelled registrations, for instance, from your new Contact List, this step is where you make that decision.

To apply a filter, simply select the desired value from the appropriate menu. For example, if you want make sure Canceled registrations do not make it into your Contact List, simply select Exclude from the Cancelled Registrations dropdown menu.

Available Filters

Registration Status

Select the Status of the registrations you wish to include in your Contact List.

Cancelled Registrations

Select how you would like to handle all Cancelled registrations. Choose Include to have cancelled registrants remain in your Contact List. Choose Exclude to have cancelled registrants removed from your Contact List.

Payment Method

Select the Payment Method of the registrations you wish to include in your Contact List. Choose All if you wish to include all registrants, regardless of Payment Method.

Balance Due

Select All to include all registrants, regardless of their balance. Select Balance > 0 to only include registrants who owed money. Select Balance < 0 to only include registrants who owe you money. Select Balance = 0 to only include registrants who are paid in full.

The Results step lets you know how many contacts were successfully uploaded, and if any errors were found.

If your upload did contain errors, click the Fix Errors link.

Once you click Fix Errors, you will be presented with the Error Description and the actual text causing the error. You are able to edit and correct this text directly from this page. For example: if the Error Description reads 'Email is not properly formatted', and you notice that the email is 'rmorrison@@appleforestry.com', you can delete the problem-causing extra '@' directly from this page. Once you have corrected an error, click the green '+' icon to add the contact to the Contact List. If you wish to ignore an error, click the red '-' icon.

The Mapping step allows you to specify how RegOnline should read your Excel or CSV file. Here you are shown the first six rows of each column in your file, and asked to label each column by selecting the appropriate header from each dropdown list. For example, if you see a column that contains email address select Email from that column's dropdown menu.If your file contains column headers, RegOnline will do its best to match the columns for you. If your file does not contain column headers, you will need to specify each header manually.

Select the Top row contains headers checkbox if your file contains column headers (Email, Last Name, etc.) in the first row.

The Contact Details page is where you can find, and edit, all of a contact's information. You can also find a history of Email Invitations sent to this contact, and a recording of each action taken by the contact.

Actions -

Edit Contact - Edit the personal information of the contact.

Opt Out - Prevent the contact from receiving any future Email Invitations. Remember, once a contact has been opted out they cannot be added back to any Contact Lists.

Contact Statistics -

Opened - Displays the percentage of received Email Invitations that were opened by this contact. For this number to be accurate your recipients must choose to view the images in your invitation.

Clicked - Displays the percentage of received Email Invitations that were clicked in by this contact.

The only clicks that are tracked are clicks on supported merge code links. You can add these links to your email content by either selecting the desired merge code from the Other Merge menu, or by typing the code itself directly into your email content. The supported links and their corresponding merge codes are:

Link to Register Page: /*RegisterLink: Click Here to Register for this Event*/

Link to Event Start Page: /*EventURL: Click Here for More Information*/

RSVP (Invitation): /*RSVP: Click to Respond*/

RSVP (W/ Undecided): /*RSVPU: Click to Respond*/

Confirm Registration: /*RegConfirm: Click Here*/

Tell-A-Friend: /*TellAFriend: Click to Tell a Friend*/

Link to PassKey: /*EventLodging: Book Lodging*/

Add to Calendar Button: /*Merge: AddToCalendar*/

Link to Invoice: /*Invoice: View Invoice*/

If you manually enter a link ("http://www.regonline.com/MyConference", for example) into your email content, clicks on that link cannot be tracked.

Registered - The percentage of received Email Invitations that this contact registered from by clicking the Link to Register Page inside your invitation, and then begin and complete their registration. If the recipient makes their way to your registration form by other means (from a link on your company's website, or a URL from a promotional flyer or mailing) they will not be counted as Registered in the Tracking Statistics. They will, of course, still be displayed as registered in all other reports.

Bottom line, if you would like to view the Registered statistic, you must include a Link to Register Page merge code inside your email content, and your recipients must click it to begin their registration.

To add a Link to Register Page to your email content:

Select Link to Register Page from the Other Merge menu located on the Content step.
This will add the merge code into the body of your email.

OR

Manually enter the merge code /*RegisterLink: Click Here to Register for this Event*/ into the body of your email content. When the email is sent, that code will be replaced with a link to your registration form.

How do I create an Email Invitation?

How do I create a Contact List?

How do I view the contacts that have unsubscribed from my Email Invitations?

Email Details and Statistics Explained

How do I report on my Email Invitations?

Topic:

How can I view who opened, clicked, and registered from, my Email Invitation?

Solution:

To quickly view tracking information for your email invitations:

From the Email Invitations tab, simply hover your mouse cursor over the title of a Sent Email.

A tooltip will appear displaying the number of recipients who were Sent the email, Opened the email, Clicked a link to your registration form within the email, Registered for the event, and those who chose to Unsubscribe from receiving your emails. This allows you to, at a glance, view the performance of your invitation.

If you would like to compare the statistics of multiple invitations, run the Jobs History Report, located in the Email Invitation Report section of the Email Invitations tab.

The Jobs History Report displays information about every Email Invitation you have ever sent. This allows you to quickly compare the Opened, Clicked, and Registered percentages of one invitation against another. Access to this data allows you to experiment with different layouts and different content in your invitations, and decide which style typically results in the most Opens, Clicks, and Registrations.

Select the Group by event checkbox to organize each event's invitation emails together, as seen below.

Click a Invitation Name to view a list of its recipients and the action (open, click, register) that each took.

Contacts - A list of all of the contacts included in the Contact List. If your Contact List contains more than 22 contacts, you will note that they are organized alphabetically. You can jump to a specific letter by clicking on the letter along the right side. The contacts are listed alphabetically by email address or name. To display the contacts alphabetically by name, click the Name column header. To display the contacts alphabetically by email address, click the Email Address column header.

Search - Search for a specific contact by name or email address.

Count - The number of contacts in your Contact List.

Date Created - The date when the Contact List was created.

Page - Enter a page number to jump directly to that page of contacts.

Add Contact - Manually enter a new contact into the list.

For example, if you wanted to send an email only to the contacts that work for a specific company, you can use a Company filter to create a new mailing list that only contains these specific contacts.

Edit List Name - Change the name of the Contact List.

The Events Page

Common Questions:

How do I copy an Event?

How do I create a custom report?

How do I enter a test registration?

How do I delete a test registration?

How do the reminder emails work?

How do I add a Register Now button to my web site?

How can I use Passkey to book lodging for my event?

How do I integrate my RegOnline events with Salesforce?

The Events Page is where you can view and edit everything related to your event. On all sections of the Events Page you will find a sidebar along the right side. From the sidebar you can Activate or change the status of your event (G), and search the event for a specific attendee, move to another event or run a bookmarked report (E). The sidebar also contains the new Next Steps suggestions (F). Throughout the life of your event you will find relevant suggestions here to help you take advantage of the best RegOnline has to offer.

The Events Page is divided into a number of sections (Event Details, Reports, Labels and Badges, Attendee Directories) that you can navigate between by clicking the section link (A). If this is your first time on the Events Page, you will be brought to the Event Details section (pictured below). From this section you can:

Edit, Activate, Test and Register for your registration form.

Use the Button Designer to create attractive links and buttons to place on your website.

Configure Reminder and Follow-up emails

View basic event statistics and charts

A. Event Sections B. Event Functions C. Event Statistics D. Charts and Graphs E. Attendee Search, Jump to Event, Bookmarked Reports F. Next Steps G. Activate/Change Status button

Next we'll take a look at the Reports section.

A. Standard Reports B. Filter Report C. Edit Report D. Copy Report E. SmartLink F. Delete Report G. Custom Reports

The Reports section provides you with access to a variety of pre-built reports as well as the tools needed to built any Custom Report you require. The pre-built reports, found along the left side (A), allow you to quickly view information about your registrants, Agenda Items, and transactions. These reports can be filtered by date range and other criteria by clicking the Filter icon (B). If you need to view very specific information (e.g. only the registrants who selected Golf and Fish), or would like to choose which information to include, create a Custom Report (G).

Now that you are familiar with the Event Details and Reports sections you will find the remaining three, Cross-Event Reports, Labels and Badges and Attendee Directories, easy to navigate.

About the Bib Numbering Tool

The Bib Numbering Tool is used for races or similar events that will require you to generate and assign each registrant a unique race or bib number. You can use this tool to configure the range of bib numbers available for each of your registrants and assign them with a single click. You can set up multiple number ranges for each category of registrants if you are using Registrant Types in your event.

Field Definitions:

Event level - Use this first section to create a single range of Bib Numbers to assign to all of the registrants in your event. Each number will contain both a prefix and a suffix.

Prefix - Enter the first part of the bib number that will be used for each registrant.

You can enter up to 5 characters (numbers and letters) in this field.

For example: "A", "Race", "5K", "10K", "Men", "KIDS"

Starting Number - Enter the starting number that will be used for your bib number range.

Enter numbers only. You can enter up to 7 numbers in this field.

Numbers will be assigned in order by registration date using the first number entered in this field.

For example: "100", "1000", "0001", "200"

By type - Use this section if you would like to assign different Bib Number ranges to your various Registrant Types. Any entry here will override the Event Level numbers entered above.

For example: Lets say that you have Registrant Types or categories for a 5K race and a 10K race. You can use different prefixes and starting numbers for each Bib Number for each type, such as "5K-1000" or "10K-1000".

Assign - Click this button to save your entries and assign Bib Numbers to all of your registrants for this event.

Close - Click this button to cancel and return to the Manager window.

Additional Information:

Canceled attendees will not be assigned a Bib Number.

You can manually assign or change the Bib Number for any attendee after they have been assigned. Simply locate and edit the attendee's record, and then edit the personal information section.

When your event is set to On-site Status, then you can configure an On-site Kiosk that allows registrants to check themselves in at the event. The On-site Self Check-In Kiosk enables registrants to confirm their attendance (changing their status to "Attended"), pay any outstanding balance, make last minute corrections to their personal information, and even print their badge. You can use this window to configure the settings used for an On-site Self Check-In Kiosk.

Each configuration is saved for the computer on which you are running the Kiosk. You can have multiple On-site Self Check-In Kiosks on separate computers with different configurations if needed.

Field Descriptions:

Edit Welcome Message - Click to modify the content or message that displays to registrants on the first page of the Self Check-In Kiosk.

Enable barcode scanning / search by Registration ID - Allows registrants to either scan the barcode from their registration confirmation or enter their registration ID number to begin their check-in process.

Require registrants to be paid in full to check-in - Enable this option to restrict registrants from checking in if they have an outstanding balance.

Allow credit card payment - If the registrant does have an outstanding balance, enable this option to allow them to pay the balance with a credit card in order to proceed with the check-in process.

Only available with a Merchant Gateway configured for the event.

Display this message if balance due exists - Enable this option to display a message to registrants if they have an outstanding balance instead of allowing them to pay with a credit card.

Click the link to edit the content in the HTML Content Editor.

For example: "Please proceed to the registration desk to make a payment"

Require Password - Enable this option to force registrants to enter their password in order to proceed with the check-in process.

The Attendee Status for Attendees that are registered on-site,	at the event, will be switched to "Attended" - indicating that they are checked-in.

If you are requiring registrants to be paid in full to check-in, and the new attendee's do not pay with a credit card through the Kiosk, then their status will not be changed to an "Attended" status and they will not be able to print their badge (if applicable).

Allow registrant to update profile - Enable this option to let registrants modify standard, personal information fields, such as address, company name, title, etc.

The First and Last Name fields can not be changed unless you have enabled Online Substitutions for your event. More info...

Allow registrant to print badge - Enable this option to let registrants print their badge after completing the check-in process. You must have a badge printer set up at your event to handle single badge printing.

Select Badge - Select the badge that you wish to use for this Kiosk.

You can only have one badge selected for each computer/kiosk that you have set up at your event.

Edit Confirmation Message - Click to edit the message that displays to registrants once they have completed the check-in process.

Common Questions:

How do I set up group discounts?

How do group registrations work?

How do I charge fees for optional, scheduled activities?

How do I add registration fees to my event?

How do I create an agenda item?

About Group Discount Rules:

Discount Rules are rules that apply to groups of people that register together. You can use this section to create a discount rule that applies to Event Fees and/or Agenda Items / Fees selected by the various registrants in a group. For example, if you wanted to create a Buy-Two-Get-One Free discount for all or some of your registrants then you will create that rule here.

Note: Discount Rules will only apply to groups of registrants and never individual registrants. You can only have one Discount Rule active for an Event.

Field Descriptions:

Enable - Select/Clear this checkbox to turn on/off the Discount Rule for this Event. This can also be enabled/disabled from the Registration Rules section on the previous window.

The following fields will be used to define your Group Discount Rule:

When ___ [or more] people register, - Enter the minimum number of registrants that qualify for a group discount. Select the "or more" option in the second dropdown list to apply this discount to groups of at least the number you entered.

apply a discount of ___ - Enter the percentage or amount of the discount to apply to the group.

Percent/US Dollar - Select the appropriate type of discount that you wish to apply from the dropdown menu.

The currency displayed here is based on the default currency setting for the Event. You can change the currency for your Event on the Checkout page of the Event Builder.

to Additional ___ / All / Any Additional registrant(s) - After the minimum group size is met, select which members of the group are to be discounted.

Additional ___ - Use this option to apply the discount to an additional number of registrants over the minimum, and enter the number of extra registrants that will receive the discount.
Example: If your discount is something like "buy 3, get the next two at $50 off", select the "Additional" option and enter "2" in the number field.

All - Select this option to apply this discount to everyone in the group.
Example: If your discount is something like "groups of 4 or more receive 30% off each registration", select the "All" option here to apply this discount to all members of that group.

Any Additional - Select this option to apply the discount to all registrants over the minimum.
Example: If your discount is something like "register 3 at the regular price and all additional people in the group get $75 off each", select the "Any Additional" option here.

Apply this rule to all / selected items - Click this link to apply this group discount rule to either all of the fee items in your event, or just to specific items in your event.

When "all items" is enabled, the Discount Rule is applied to all Event Fees and Agenda Items with fees associated with them that your registrants select.

Your registrants must select the correct number of the same item to qualify for the discount. For Example: With a discount rule of "When 3 people register, apply a discount of 50% to additional 1 registrant", three registrants must all select the same qualifying item in order for the discount to take effect. This is true regardless of the number of items selected in the discount rule.

When "selected items" is enabled, a listing of all Event Fees and/or Agenda Items in your event displays. Check the appropriate boxes to apply this Discount Rule only to specific items.

Expire this rule (optional) - Check this box to cause this discount to end as of a date you specify. When checked, an additional field displays below.

Rule expires at midnight MST on - Enter the date for the last day that this Discount Rule would apply.

Group Discount message - This is the message that displays to registrants on the Start page of the registration form.

Default message: "Group discounts are available for this event."

"What's this?" pop-up message - This message appears to registrants when the click on the "What's this?" link from the Start page next to the Group Discount message. The message automatically appears when a Group Discount Rule is defined in this window. The text here changes based on the entries made in the first set of fields in this window (When ___ people register...).

We recommend that you do not change this content. You can enter any message that you wish into this field using the HTML Content Editor, however changing any part of the text will cause the automatic merge of data from the Discount Rule fields to no longer function.

Click the "restore default" link to restore this message to the default value, which is based on the entries made in the "When ___ people register..." line in this window.

Additional Information:

Here is the order in which discounts and taxes are applied to fees on a registration form. This is calculated on the payment or checkout page at the end of a group registration.

Regular Fee

Early-Bird discount or Late Fee applied

Group Discount applied

Discount Codes (if applicable) applied

Taxes (if applicable) applied

Event Builder - Conditional Logic Setup - Select Multiple Items

About Conditional Logic:

Conditional Logic can be used on Custom Fields and Agenda Items to display certain items or questions based on the selection or answer of a previous item on the registration form.

For example, if you wanted to display a question to registrants asking them what type of golf clubs they need, but only if they check a box indicating that they will need to rent golf clubs, then you can use the Conditional Logic features to set this up.

Each conditional display option has, essentially, two components; a Parent item and a Child item(s). The Parent item or field is the controlling item that determines whether or not the connected Child items will display to registrants. Parent items can only be setup using the field types Checkbox or Multiple Choice (radio buttons or dropdown menus). Child items will only allow you to connect to Parent items that preceed it in the list and have the appropriate field type.

One Child item can have multiple Parent items, so that the Child item will appear to registrants if they answer one Parent item or the other. Use this page to select the multiple Parent items that you would like to associate with this Child. More on Conditional Logic...

Field Descriptions:

Clear All - Use this button to clear all of the selected Parent items for this Child.

Select the appropriate Parent items - The items in this list are items that can be used as the controlling field or Parent item for this Child.

This list will only display items that:

Are setup with the field type Checkbox or Multiple Choice (radio buttons or dropdown menus)

Are not already connected to another Parent item (i.e. other Child items)

Preceed it on the registration form

For example: if you are working on a Custom Field on the Personal information page that is the 5th item on the list, then you will only be able to choose from items in the 1st-4th position on the Personal Info page
