RegOnline has Flash-based training videos available to our customers, and they range from short overviews on specific topics to comprehensive training on our entire system. We’d suggest that you watch as many of them as you need to in order to feel comfortable with our system.

Well, you've already found the first one – the RegOnline Help Center! If you’re just getting started with RegOnline or have some familiarity with our system, you’ll find answers to many common questions in our Forum’s Knowledge Base. We also have numerous other resources to help you build and monitor your events, memberships, donations, web events, and/or surveys.

Most of our customers start by watching two web-based training classes:

ActiveEvents onDemand Tour - This short video will help you get oriented to the onDemand interface. You'll also see how you can create a simple first event using our event build wizard. 10 minutes. Watch the onDemand Tour video.

Solution:

In the course of conducting (literally!) thousands of event reviews, the RegOnline Tech Support team has identified a handful of common setup problems. This is by no means a comprehensive list, but it may help you to avoid common setup issues or pitfalls.

Common Pitfalls to avoid before activating your event:

Visible/Required properties are incorrect - If your event uses Registrant Types, check (and re-check!) your Agenda Items and Custom Fields to make sure they are visible to the correct Registrant Type(s). More info...

Incorrect early/late pricing options - For any Agenda Items or Event Fees that use early bird or late registration pricing, check the date entries to confirm that the right price displays for each date range. Show me how...

Registration fees on the Merchandise page - Registration fees should be set up using the Event Fee field on the Start page, by various Registrant Types, or possibly on the Agenda page. The Merchandise page is intended to be used to define “add-ons” items such as books, DVD's, extra tickets, etc. About Event Fees...

Caption entries are not self-explanatory - Each Agenda Item (or Custom Field) has two fields that may display information to registrants - one to display to your attendees on the registration form (this field is called Question/Description) and one to display to on the registrants record or receipt (this field is called the Title on Invoice/Receipt). The text for each should be intuitive and geared towards the correct audience. More info...

Waitlist setup issues - If you will be using the automatic waitlist functionality on the Agenda page, the individual Agenda Items to be waitlisted must be enabled properly. More about agenda item waitlisting...

Agenda Items that overlap or conflict - If you have multiple Agenda Items (or Custom Fields) that either overlap one another in time or should otherwise be mutually exclusive, then you should use the Group Name feature to tie them together. This will keep registrants from selecting more than one item in that group (e.g. multiple Workshops on Thursday @ 10 AM). Show me how...

Incorrect address in Location fields - If you are using the link to Google Maps (on the Confirmation page or in the Confirmation/Reminder emails), be sure the address for your event is correct and doesn't contain unexpected information such as phone numbers entered in the country field, etc. Incomplete or incorrect data in the Event Basics section on the Start page will result in the system generated (Google Maps) to not work properly.

Emails from Copied Events - If you have copied a previous event then it may have some information left over from that old event, such as incorrect dates, subject lines, or other information. Emails have both an HTML version and a TEXT ONLY version - you will need to check both versions for accuracy. Be sure to check all of the correspondence emails that will be sent to your registrants. Including - Confirmation emails, Alternate Confirmation emails (for each Registrant Type), Incomplete email notification, and Reminder Emails. Are they sent from the correct email address to your attendees? You can test these emails directly from the Event Builder to verify their content.

Notify Attendee of Incomplete Registration option is not enabled (Emails tab), so that your attendees will not get an email with a link to 'try again' if they failed to complete their registration. We recommend that you enable this notification email so that registrants will know if their registration was not completed for any reason. Show me how...

Checkout page (Payment & Verification) - If you are charging any fees for your event, then make sure that you have set up the appropriate payment methods and policies for your registrants. Is your event set up for Online Credit Card processing? Have you entered a refund policy or terms and conditions that are appropriate to your event? If you are accepting checks, have you included payment information to tell them where to send the payment?

Customized Page Names have been deleted from the Page Options section on each Registration Form Page as a (mistaken) way to remove unused pages from the registration form. Show me how to remove unused pages...

Testing your event:

It is also important to fully test the functionality of your event before you Activate and open up registrations to the public. This can help you catch additional problems that may have not been apparent while you were building and previewing the form.

Keep your event in Testing status - Any registrations completed while in Testing status are completely free. It is also much easier to make changes to an event in Testing status than it is to modify an active one.

Enter some test registrations - The best way to see how your event looks and works is to test register. There is no charge on your RegOnline account for any registrations completed while your event is in Testing status, so enter as many as you want! We recommend one or two test registrations for each Registrant Type that you are using in your event.

Check the pricing (fees) and other Agenda Items for each Registrant Type - As you enter your test registrations, be sure that the Fees, Agenda Items, and Custom Fields that display are the ones you expected to see for that type. For example, if you have Registrant Types for Members and Non-Members, be sure that you see the Member pricing when you register with that type.

Run a sample report of the data that you need to collect to ensure that your event setup includes or collects the fields and information from your registrants that you will need to report on later. The Event Snapshot Report may be the best report to start with see all of the fields available in your event.

RegOnline is constantly working to improve our system, adding new features and enhancements that will make your job easier. Some of the upcoming new features we are working on are listed below. What information can I collect in a Custom Field or Agenda Item?

Solution:

Custom Fields and Agenda Items are intended gather information from your registrants. This could include:

Course, Session, or Activity selection

Spouse or Guest name

Meal Choice

Special Requirements

Golf Handicap

Booth Choice

Custom Fields and Agenda Items are not designed to collect private information, including:

Passwords

Passport numbers

Banking information

Credit card numbers

Social Security numbers

Other similar sensitive or private information

Since Custom Fields and Agenda Items are not encrypted, they are not fit to store this type of sensitive information. In many cases, you have been provided with a safe alternative method of collecting this information. Social Security numbers can be collected on the Personal Information page by enabling the encrypted Social Security Number field located in the Optional Fields section.

Credit card information can only be collected on the Lodging and Travel page for lodging reservation and on the Checkout page for online payment processing. When using the designated fields, this information is always encrypted and stored in compliance with PCI Level One standards. In order to maintain this level of security, sensitive information collected in a Custom Field or Agenda Item can be deleted from your account without warning.

Where can I view a detailed list of the fee breakdown for each credit card transaction and registration?

Solution:

The Transaction Fees report contains a detailed list of the credit card processing and registrant fees for your event. Each row contains the information for an individual credit card transaction or registration.

To view the Transaction Fees report for an event:

Locate and click the title of the event Events tab.

Click the Reports link.

Click the Transaction Fees link, located along the left side of the page under the Financial Reports heading.

Click the Open button to view Transaction Fees report in Excel.

This report contains the following information for each credit card transaction and registration:

Event ID - The Event ID where the transaction was created.

Primary Reg ID - The Registrant ID number.

Transaction ID - The Transaction's ID number.

Transaction Date - The date and time when the transaction occurred.

Transaction % - The fee percentage that is charged by RegOnline for transaction processing.

Transaction Amount - The dollar amount of the transaction.

Transaction Fee - The dollar amount charged by ActiveEvents for the transaction processing. Calculated using the Transaction % number.

Flat Fee - The flat per transaction fee charged by RegOnline.

Per Reg Fee - The per registration fee charged by RegOnline.

Group Count - The total number of registrants in the group. Will be '1' if not a group registration.

Total Fees - The total fee (Transaction Fee, Per Reg Fee, etc.) charged by RegOnline for the registration or transaction.

% Passed To Participant - If using a Service Fee, the percentage of the Total Fee that is billed directly to the registrant.

Total Paid by Participant - If using a Service Fee, the dollar amount of the Total Fee paid by the registrant.

Fees Due - The total fee billed to you by RegOnline for the transaction or registration.

The Transaction Fees report is only available in RegOnline OnDemand.

How can I remove a contact from the Unsubscribed list?

Solution:

If an email contact has accidentally unsubscribed themselves from your emails, you can send an email allowing them to opt back in to your mailing list.

To send an unsubscribed contact an Opt-In Email:

Click the Email Invitations tab.

Click the title of the contact list that contains the unsubscribed contact.

Locate the specific contact in the list. Click the contact's name.

Click the Send Opt-In Email.

The email they receive will look like this:

Hello,

You are currently unsubscribed from (Your Organization's name)'s email.
If you wish to receive emails from (Your Organization's name) please click the link below.

What are the Event Category and Industry fields used for?

Solution:

Select the Event Category and Industry that are most similar to your event. The information collected by these fields will be used to help RegOnline learn more about the types of events and conferences that are created using OnDemand, as well as helping to drive the direction of new features and improvements. In the future, this information will be used to help the Event Directories (Google Calendar, Eventful, Confabb and Upcoming.org) categorize your event, when you choose to Publish my Event.

Your selections will not display on your registration form, and will not be visible to your registrants.

Group Registration Credit Card Processing Issue

What happened?

A number of credit card transactions processed through RegOnline between 10 PM MST 8/24/09 and 9:30 PM MST 8/25/09 were processed incorrectly.

Who was affected?

Any account that processed credit card transactions between 10 PM MST 8/24/09 and 9:30 PM MST 8/25/09 could have been affected.

What do I need to do?

If you use RegOnline's Gateway:

There is nothing that you need to do. RegOnline has adjusted all affected records to reflect the correct amount, and has charged any remaining balance to your affected registrants.

If you use a 3rd Party Gateway::

Log into your Merchant Gateway and run a report that displays all settled transactions that occurred between 8/24/09 and 8/26/09.

Email this report to merchantinfo@regonline.com referencing your name and your RegOnline account number.

Once we have received this information we will correct the affected records and contact you by phone or email when finished.

Setting up a TouchNet Gateway

Setting up a TouchNet gateway

Solution:

You can add your own TouchNet gateway in your RegOnline account.

To add a TouchNet gateway:

On the Account tab, click the Merchant Gateways link.

Click the Add Merchant Gateway link. The Merchant Gateway Setup window displays.
Make the following entries:

Description – The name to display in your list of gateways

Gateway – TouchNet

Statement Name – This should match the name that you have entered in your TouchNet Gateway account.

If you wish to change the name that appears on your registrants' credit card statements, then you will want to change the name in your Merchant Gateway Account and here in RegOnline.

Merchant Name – This is the name TouchNet uses to refer to your account with them.

Test URL - Your TouchNet account's Test URL. This is used when your event is in Testing status. No live transactions will be processed through this URL. You will have received this from TouchNet.

Prod URL - Your TouchNet account's Production URL. This is used to process live transactions when your event is in an Active status. You will have received this from TouchNet.

Set as Default Merchant Account – Check this box to use this merchant account as the default for your events.

This entry can be overridden in the setup for your events.

Select the card types you wish to process. Selecting a card type does not verify that the card type is processing correctly, it simply makes the option for that card type appear on the Checkout page of your event.

Click OK to save your changes.

Optional, but strongly recommended: Verify that each card type is processing correctly by clicking the Verify Credit Card Processing icon in the Actions column. Select the card type you wish to verify, enter your credit card information and click Verify Card to process a transaction through your merchant gateway. If the transaction is unsuccessful, the error message returned by your gateway will display in the top left corner of the window. If the transaction is successful, you have confirmed that the selected card type is processing correctly through your gateway.

Before you begin processing credit card payments, you will need to connect your event to the new gateway. Click here for detailed instructions.

Additional Information:

Fees:

There are no account setup fees and no monthly charges.

There is a 0.95% transaction fee for all online credit card transactions.

This fee will be billed to you by RegOnline in addition to any fees billed to you by TouchNet.

Online credit card refunds are considered an online transaction and therefore are subject to the normal transaction fees.

How do I customize the display of my Event List?

How do I customize my Event List?

Solution:

You can now control which columns display on the Event List, as well as their width, order and label.

To select which columns display, their order and their label:

From the Events tab, click the Change Columns button in the upper right corner.

Select the checkbox of the Column you wish to display. Unselect any checkboxes of Columns you wish to hide.

To rename a Column, enter your label into the Column's Custom Name field.

To change the order of the Columns, click and drag the Columns to the desired order (the closer the Column is to the top of the list, the farther to the left of the page it will display).

Select the checkboxes for the Actions you would like to display.

Save your changes.

To change the width of a Column, from the Events tab, move the cursor over the Column header and click and drag the white line that separates the column.

Solution:

To allow registrants to print their own badge from a Confirmation or Reminder Email:

Create a badge.

Edit the event.

Click the Emails tab.

Click Email a confirmation to the registrant to add the badge to the Confirmation email, or click Schedule a reminder email for the registrant to add the badge to the Reminder Email.

Move the cursor to the place in the email content where you would like to insert the link the registrant will click to print the badge

From the Personal Merge dropdown menu, select Badge.

If the event contains multiple badges, select the desired badge from the prompt.

The badge merge field has now been inserted in the email content.

Additional Information

The Badge merge field will be only available in Confirmation and Reminder emails once a Label or Badge has been created in the event.

The Badge merge field cannot be added to Email Invitations or emails sent from the Attendee Report.

Solution:

You can use the Agenda Item merge code to include a list of all the Agenda Items your registrant selected in their Confirmation Email. To add this merge code to your Confirmation Email:

Edit your Event.

Click the Emails tab.

Under "When a new Registrant completes their Registration", click Email a confirmation to the registrant.

Click in the body of the email to move the cursor to where you want to include the list of Agenda Items.

From the Personal Merge dropdown list select Agenda Items. /*Merge: ConfirmedAgendaItems*/ will be inserted into your email content.

Save your changes.

The Confirmation email your registrants receive will now include a list of all the Agenda Items they selected, along with the date, time, and location of those items. Here is an example of how the Agenda Items will appear in the email:

Please note that this merge code can only be added to Confirmation, Reminder and Follow Up emails. Edit the Name on Form field to change how the Agenda Item displays in the email.

You can configure any Custom Field or Agenda Item to only display during Admin Registration.

To make a field only visible during Admin Registration:

Locate and Edit your event.

Select the Agenda Item or Custom Field you wish to edit.

Select the Admin Only checkbox. If your event has multiple Registration Types, select the Admin Only checkbox for each of the registration types that should see this item during Admin Registrations.

Save your changes.

Solution:

In the top right corner of onDemand, locate the New Registrations Today link. This link displays the total number of registrations for that occurred today.

Click the New Registrations Today link to open the Activity By Date Range report.

If an event has had registrations today (or within the selected date range), the event will display here along with the total number of registrations that occurred within the date range and the Revenue generated by those regsitrations. Cancellations, Substitutions and Updates will also display here.

Click the number in the Registrations column to view the individual registrants.

What information does the Cross-Event Snapshot display?

Solution:

The Cross-Event Snapshot provides you with basic information about many or all of your events. Specifically, the report displays:

Date - The Start Date and Time of the event.

Location - The Location of the event.

Event - The Title of the event.

Limit - The total number of registrants allowed to register for the event. If there is no event limit this column will be empty.

Registrations - The number of people registered for the event.

Cancellations - The number of registrants that have cancelled.

Repeats - The number of registrants in the event that have previously registered for one of your other events.

Revenue - The amount of revenue collected in the event.

Invitations - The number of individual emails sent through RegMail or the Email Invitations system that were associated with this event.
