Topic:
I would like to allow registrants to register more than one person at a time as a group. How do group registrations work?
Solution:
When Group Registrations are enabled for your registration form (Event, etc.), you are allowing one person to register a number of people, then pay for that group with one transaction (if there are fees for your Event). This first person is designated as the Primary Attendee for the group.
Here is the typical process of a group registration:
- The Primary Attendee begins the registration on the Start page and enters the email address of the first person they are registering (Primary Attendee) and continues through the registration form.
- On the last page of the regsitration form prior to checkout, they will have an option to "Add another person". When the registrant clicks on this link they will be taken back to the Start page to begin the registration for the next attendee.
- This process will continue until all attendees are added to the group.
- The registrant can then verify the information for all of their group members and click on the "Finish My Registration".
When you (the event administrator) views an attendee’s registration record you will see that all attendees in the group are linked together, with the first person in the group designated as the Primary Attendee. All transactions associated with this registration will be shown in the Primary Attendee’s record.
Additional Information:
Depending on the specific setup for your Event, the steps outlined above may vary. For example, you can choose to prompt each user in a group for a Registrant Type or default them to use the Registrant Type used by the Primary registrant, require certain fields of information during the registration, etc.
The Primary Attendee's Registration ID number is used as the Group Registration number for each attendee in the group. Each attendee in the group will therefore have both a Registration ID number and a Group Registration number. See the related links below for assistance viewing the groups in a report.
In reports, revenue generated by a group will only be displayed with the Primary Attendee's record.
Registration Updates -
By default, only the Primary registrant can update the group registration. To allow Secondary Registrants to update their own Personal Information:
- Edit your event and click on the Start tab.
- In the Registraetion Rules section, select the checkbox for Allow all group members to update their own information.
- Save your changes.
While the Secondary registrants will now be able to partially update their records, they will not receive any Update Confirmation emails. Only the Primary Registrant will receive Confirmation emails for changes made to the group.
