What’s the easiest way to charge an attendee's outstanding balance to their credit card?

    Topic:

What’s the easiest way to charge an attendee's outstanding balance to their credit card?

    Solution:

If you have an attendee that has a positive balance or owes you money, then you can charge that balance directly to their credit card after they have registered for your event.  The steps below explain the easiest way to do this, but they assume that the attendee already has a credit card stored on their record.  See the Additional Information below if you wish to add a credit card number to the attendee's record.

To charge the remaining balance to the attendee's credit card:

    1. Find and edit the attendee's registration record. This will open the Attendee Info window for the registrant.
    2. Click the Transactions button in the left side-bar.
    3. Verify that the attendee has a positive balance on their record.
      • If their balance is $0 or is incorrect, then you will need to manually adjust their balance. Show me how...
    4. Click the link to Charge Remaining Balance to charge the balance to the attendee's credit card.

The entire amount is charged to the credit card on file for this attendee, a new line is added to the Transactions section showing the details of this transaction, and the Total line in this section will show a $0 balance.

    Additional Information:

    • This applies only to attendees who orginally paid by credit card. The Charge Remaining Balance link does not display when the payment method is not credit card or the attendee's credit card is not stored on their record.

      • To change the attendee's payment method or add a credit card number:
          1. Locate and edit the attendee record to open the Attendee Info window.
          2. In the Personal Information section, click on the Payment Method link.
          3. Select the Pay by CREDIT CARD radio button
          4. Enter the attendee's credit card information.
          5. Save your changes.

    • The Charge Remaining Balance link does not display when there is a $0 balance for an attendee.

    • The process of issuing a refund to an attendee's credit card varies slightly depending on the merchant account that you use to process your credit card transactions. See the Related Links below for complete information about issuing an online refund.
