    How do I share the ActiveEvents processing fees with my registrants?

    Topic:

    How can I pass my registration costs onto my registrants?

    Solution:

    You can enable a Service Fee to charge a percentage of your registration costs (what ActiveEvents charges you for the registration) to each person that registers for your event.
    To enable a Service Fee:

    1. Locate and Edit your event.
    2. Click on the Checkout page.
      • You can also create a unique Service Fee for each of your Registration Types. More information about this can be found below in the Additional Information section.
    3. Expand the Advanced Payment Options section.
    4. Enter the name of this fee in the Service Fee Description field.
    5. Enter the percentage of your fees that you would like to charge your registrants.
      • For Example: ActiveEvents charges you $8.00 per registration and 5% of each credit card transaction. If a person registers and pays their registration fee of $100, ActiveEvents will bill you $13 (the $8.00 per registration fee plus 5% of $100) for the registration. By using a Service Fee of 100%, a $13 fee would be charged to the registrant to help you cover your processing costs.

    Additional Information:

    • You must be using the RegOnline Gateway to have your credit card processing fees included in the Service Fee. If you are NOT using the RegOnline Gateway, credit card processing fees will NOT be included in the Service Fee calculation.
    • Regardless of the Service Fee percentage you have selected, you will continued to be billed by ActiveEvents for the entire registration cost. These costs, however, are offset by the additional fees you are now collecting from your registrants.
    • Your cost per registration typically consists of a Per Registrant Fee and a percentage Transaction Fee. When using a Service Fee, you are charging your registrants a percentage of those two combined fees in order to offset your costs. All offline payments (checks, purchase order, etc.) will be calculated using your highest credit card per transaction fee in order to determine the Service Fee that will be charged to the registrant. This is necessary to comply with credit card industry laws that prevent anyone from penalizing a customer who chooses to pay by credit card.
    • You can also specify a different Service Fee percentage for your individual Registration Types. If you have applied a Service Fee greater than 0% to a Registration Type, that percentage will override any percentage entered on the Checkout page. If multiple Registration Types are selected as part of a group registration, the Service Fee of the Primary group member's Registration Type will be used.
    • The Service Fee will not be added to administrative transactions created through the Attendee Info page.
