My attendees make their selections from a variety of activities, courses, workshops, seminars, etc. How do I send my attendees an Agenda Item Schedule that they can print or download?
Solution:
Providing a link to a downloadable or printable schedule for your attendees is easy. If you have created your Agenda Items as selectable items (check boxes, multiple choice items, etc.), then the information will be generated, automatically, into a professional schedule in PDF format that you can provide to attendees after they have registered. The link to this PDF document can be displayed on the Confirmation page of the registration form and on the attendee's Registration Record and can also be generated from the Attendees report in your account.
First, you will want to make sure that you have created Agenda Items (courses, seminars, activities, etc.) on your registration form that can be selected by registrants. More Info...
- These items should be set up using the field type "Checkbox", "Multiple Choice", or "Always Selected" so that they can be selected by your registrants.
- Items using the "Section Header", "Continue Button", and "File Upload" field types will not display on the printable Agenda Item schedule. More on Field Types...
- It is suggested that you enter a Start Date & Time, as well as a Location, when creating your Agenda Items so that they will be listed appropriately on the system generated schedule.
- Any items that do not have a Start Date & Time will be listed the order that they appear on the registration form below any items that have a date & time specified.
To enable a the printable Agenda Item Schedule:
- Edit your event and click on the Registration Form Pages tab and then the Confirmation page.
- Select the checkbox titled Enable Link to Agenda Item Schedule.
- Save your changes.
Once that this feature is enabled, attendees will see a button to Print my schedule on the Confirmation page as well as on their Registration Record or Confirmation. Attendees can access this schedule after their registration by clicking on the link to "View their detailed record" from the Confirmation and Reminder emails.
Additional Information:
- The content for the Agenda Item Schedule is generated from the Title on Invoice/Receipt field, the Start Date/Time fields, and the additional information added to the Details Popup in the Advanced section of an Agenda Item.
- If there are Agenda Items with the same Start Date & Time (or none at all), then they will be listed in the same order that they are listed on your event.
- Attendees that register together in a group will be able to print or download the entire group schedule using this feature. However each attendee's schedule will be on a separate page. When opening the PDF from their registration record, the primary attendee in the group will have an option to open the entire group schedule or individual schedules.
- Another way to provide your attendees with a list of their selected Agenda Items is to add information about each selected Agenda Item to the footer (bottom) of their Confirmation and/or Reminder emails. Show me how...
