I am using the Add to My Calendar feature on the Confirmation Page and/or the Confirmation Email. How can I customize the information that appears in an Outlook calendar appointment when the Event is added?
Solution:
The Outlook Calendar file that is generated when a registrant clicks on the Add to My Calendar link from your Event pulls information from a few different places on your Event.
These fields are:
- Event Title - Edited on the Start page
- Event Location - Edited on the Start page.
- Event Date/Time - Edited on the Start page.
- Selected Agenda & Fee items (see the section below for assistance with this)
- Additional information or notes entered (see the section below for help)
To add additional comments to the Add to My Calendar file:
- Edit your Event and click the Registration Form Pages tab.
- Click on the Confirmation page.
- Enable add to my calendar - Select this checkbox to display the Add To My Calendar button on the Confirmation Page
- "Add to My Calendar" additional content - Type in the additional information that you would like to display in the Outlook calendar appointment that is added to the registrant's calendar.
To edit the content from items that are selected on the Agenda page:
- You can create additional Outlook Calendar files for the various Agenda Items in your event. These calendar files can be downloaded from an Attendee Record or Confirmation when the registrant reviews the items that they had selected.
- Edit your Event and click on the Registration Form Pages tab.
- Click on the Agenda page
- Edit the item for which you want to customize the Outlook calendar appointment.
- In the Define Agenda Item / Fee window, scroll down to the Title on receipt/invoice.
- This field is what displays as your appointment in your Outlook calendar. Customize as desired. Keep in mind that this will appear only in the Subject line of your appointment and that Outlook limits the number of characters visible in this field.
- Enter the correct Start and End dates/times for the item(s). These are the dates/times that will be added to the Outlook calendar file.
- Save your changes when finished.
