    How do I create a sold out message for a custom field or agenda item?


    Topic:

    When my Custom Field (or Agenda Item) reaches its limit, I'd like to display a message to my attendees indicating that it's full. How do I set that up?

    Solution:

    The process varies a bit based on whether the item is a Custom Field or an Agenda Item. Use the steps below to create a Sold Out message for an existing Custom Field or Agenda Item.

    To create a Sold Out message for an Agenda Item:

    1. Edit your Event and click on the Registration Form Pages tab.
    2. Click on the Agenda page.
    3. Select the Agenda Item that you would like to modify. The Agenda Item Details window displays.
    4. Enter the limit in the Spaces Available field.
      • Confirm that the number in the Spaces Available field is correct.
    5. Click the Options link next to the Spaces Available field.
    6. When limit is reached -
      • Hide this Item - When this text is displayed then the item will be removed from the form when the limit has been reached. Click this link to change the behavior and define a sold out message.
      • Show Message - When this text is displayed then a sold out message will be visible on the form when the limit has been reached.
        • Add Message - Click this link to modify the sold-out message. The HTML Content Editor window displays.
          • Your message should include a brief description of the custom field so that both you and your attendees to know at a glance the exact item that is sold out.
          • For example: "We're sorry, the free book offer for the first 20 attendees is already full...".
    7. Save your changes when finished.

    To create a Sold Out message for a Custom Field:

    1. Edit your Event and click on the Registration Form Pages tab.
    2. Click on the page where this Custom Field is located.
      • Custom Fields can be created in either the Personal Information or Lodging & Travel pages.
    3. Edit the Custom Field that you would like to modify. The Define Custom Field window displays.
    4. Enter the limit into the Spaces Available field.
    5. Click the accompianing Options link.
    6. When limit is reached -
      • Hide this field - When this text is displayed then the item will be removed from the form when the limit has been reached. Click this link to change the behavior and define a sold out message.
      • Display Message - When this text is displayed then a sold out message will be visible on the form when the limit has been reached.
        • Add Message - Click this link to modify the sold-out message. The HTML Content Editor window displays.
          • Your message should include a brief description of the custom field so that both you and your attendees to know at a glance the exact item that is sold out.
          • For example: "We're sorry, the free book offer for the first 20 attendees is already full...".
    7. Save your changes.
