    How do I process a partial refund?

    Topic:

    I would like to refund a registrant part (but not all) of their registration fees without canceling their registration. How do I process a partial refund?

    Solution:

    It is important that you understand how transactions work in RegOnline prior to making any type of changes to attendee's transactions on their registration record.

    If you would like to refund an attendee part of their registration fees, then you will first have to create a manual credit transaction (Revenue Adjustment) on the attendees record and then process the appropriate refund (Cash Transaction) to bring the attendee's balance back to zero. 

    To create a Revenue Adjustment (manual credit):

    1. Find and edit the registrant's record to open the Attendee Info. window.
    2. Click the Transaction icon on the left sidebar.
    3. Click on New Transaction link in the top right corner.
    4. In the Revenue Adjustment section, select the option to Adjust this registrant's balance due and click Next.
    5. On the next step, enter the following information:
      • Enter the Date of the transaction (default is today's date).
      • In the Type field, select Other Credits from the menu.
      • Enter the Amount of the payment.
        • Enter positive numbers only.
        • You should not enter the currency symbol ($, £, €, etc.)
      • Enter any Notes regarding this payment (optional)
        • For example: "Loyalty Credit", "Discount for X", etc.
    6. Click Save and Close when finished.

    This will update the attendee's remaining balance to show a negative amount (displayed in red).  Now you can process a corresponding Cash Transaction (refund) to bring the balance back to zero.

    RegOnline uses a double-entry or cash-basis accounting system that requires a debit for every credit in order to bring the registrant's transactions to a zero dollar balance. Read more...

    If you cancel an attendee's record (or the attendee cancel's themselves), then the system will automatically create a Revenue Adjustment or credit for the entire registration fees on their record. You will then be able to refund the credit back to the attendee as necessary.
