I’m going to be using RegOnline to accept credit card payments for an upcoming event. What are RegOnline’s credit card policies?
Solution:
RegOnline takes great pride in providing one of the most secure web-based applications in the online registration world. At the same time, we feel that our customers should have the freedom to assess and balance, in their own organization, the level of security vs. convenience and ease-of-use they need.
To that end, you can decide whether you want to store your attendees’ credit card numbers after they have completed their registration. Please note that when you store credit card numbers after initial payment, the card numbers are encrypted – that is, the card number displays as a series of asterisks followed by the last four digits (e.g., **********1234). The complete credit card number is never visible to you, your co-workers, or RegOnline.
Credit card numbers are only stored for 90 days after your event is over (or if there is no event end date, 120 days after the transaction occurs), at which point the number is erased and replaced with only the last four digits (unencrypted). Credit card numbers can be recalled at a later date for additional transactions.
The following fields on the Checkout page of your event setup are related to RegOnline’s credit card processing, storage and security.
Description on credit card statement – Please enter the exact text (25 characters max.) as you would like it to appear on your attendees’ credit card statements.

Do not charge credit card on initial registration – Check here if you would like to delay your attendees’ credit card charges for this event. For example, if you need to review your registrants before confirming them for attendance at your event, you can check this box so the registrant’s credit card is not charged at the time they register.
- When checked, you (the event administrator) will need to access each attendee’s registration record and process their credit card payment. See the Related Links below for more information.
Collect credit card security code (section is only visible when Accept credit cards online is selected) – When checked, this prompts the registrant for the security code, or CVV code (different credit cards sometimes refer to this code as the Card Security Code, CSC, CVC, CVC2, CVV, and CVV2) on the back of their card, along with their other credit card information. See the image below for an example of where to find the CVV code on various credit card types.
- The CVV code is never stored by RegOnline.

Store credit card numbers after initial payment processing – When checked, the credit card information (number, expiration date, and cardholder name) is stored in RegOnline’s database in encrypted format. This means that when accessing an attendee’s payment information, you will only see a series of asterisks and the last four digits of the credit card (e.g., ********1234).
- Check this box if you plan to process online credit card refunds for your cancelled attendees. When this box is unchecked, you will need to contact your attendee and collect their credit card information in order to process an online refund.
- When checked, RegOnline will store the credit card number (encrypted), card expiration date, and cardholder name only. The credit card security code is never stored in RegOnline.
General policies and procedures –
- RegOnline will not, at any place on the website, display the full credit card number. Although additional transactions can be made using stored numbers, the number will not be viewable.
- On custom reports where you would use the "Generate Link" feature, only the last four digits of the credit card number will be displayed. For users needing credit card numbers for booking lodging & travel accommodations, you will still be able to download and or print the reports.
- RegOnline is not responsible or liable for customer’s employees abusing stored credit card information.
