The setup options in this section of the Checkout page determine whether you will allow your attendees to pay for their registration with a credit card, and the various options of how the credit card payments are to be processed.
If you are planning to do online credit card processing for the first time with RegOnline, we will also need to have your merchant account information set up in our system. Please refer to the Related Links below for details on getting started with online credit card processing.
Field Descriptions:
Accept credit cards online – Determines whether you will be accepting credit card payment for this event. There are two options available here:
Note: In order to select the Online processing option, at least one merchant gateway must be set up for your account. See the related links below for more information about setting up a merchant gateway to accept online credit card payments.
Not accepting credit cards at this time – Select this option if you will not be accepting any form of credit card payment.
(The following fields display only when the Accept Credit Cards Online option is selected)
Merchant account – Displays all merchant accounts that have been set up in this RegOnline account.
- If you have just one merchant account, it displays here in text format.
- If you have more than one merchant account, they display in a dropdown list.
- Note: Your event must be in Testing mode in order to select a merchant account from the dropdown.
Description on credit card statement (field only displays when the Merchant Account is the RegOnline mini-merchant account) – The text entered here displays in the Description column of your attendee’s credit card statement.
- Maximum Number of Characters: 25
Do not charge credit card on initial registration – Check here if you would like to delay your attendees’ credit card charges for this event. For example, if you need to review your registrants before confirming them for attendance at your event, you can check this box so the registrant’s credit card is not charged at the time they register.
- When checked, you (the event administrator) will need to access each attendee’s registration record and process their credit card payment. See the Related Link below for more information.
Store credit card numbers after initial payment processing – When checked, the credit card information (number, expiration date, and cardholder name) will be stored in RegOnline’s database in encrypted format. This means that when accessing an attendee’s payment information, you will only see a series of asterisks and the last four digits of the credit card (e.g., ********1234).
- Check this box if you plan to process online credit card refunds for your cancelled attendees. When this box is unchecked, you will need to contact your attendee and collect their credit card information in order to process an online refund.
- When checked, RegOnline will store the credit card number (encrypted), card expiration date, and cardholder name only. The credit card security code is never stored in RegOnline.
Collect credit card security code – Prompts the registrant for the security code or CVV code (different credit cards sometimes refer to this code as the Card Security Code, CSC, CVC, CVC2, CVV, and CVV2) on the back of their card, along with their other credit card information.
Require this code – Requires that the registrant enter the card’s security code in additional to other credit card information.
- The CVV code must be collected for events using the RegOnline merchant account, so this field must be checked.
- Note: If you are using the RegOnline mini-merchant account, you do not need this code in order to process transactions administratively through your attendees' registration record.
- Check this box if your merchant gateway account is set up to require the CVV code. If the CVV is required by the gateway but is not required in RegOnline, all credit card transactions will fail.
- Note that you can require this code in RegOnline but not require it in your merchant gateway setup. In this case, the gateway's record for this transaction will indicate that the CVV code was used, but it will not be stored.
Accepted credit cards section – Check the boxes to indicate which credit cards you will accept for payment for this event, and who will be allowed to use them.
- Note: Credit card types that have not been successfully verified for the selected merchant account are “greyed out” and may not be selected in this section. See the Related Links below for more information about setting up your gateway.
Available to (Public, Admin, On-Site) – these checkboxes determine whether payment with this credit card will be available to the general public, the administrator (when you do an Admin Register), and/or to on-site kiosk registrants.
Additional Information:
In order to be compliant with PCI Level One online transaction security (the same level used by financial institutions), RegOnline does not allow credit card payments to be processed offline.
