Topic:
I would like to allow registrants to check themselves on-site, at my event. How do set up an On-site Check-in Kiosk?
Solution:
Using the On-site Registration & Self Check-in Kiosk, you can create one or more computer stations where people can check themselves in, make last minute corrections to personal information, pay outstanding balances, print badges, and more. You can configure and launch multiple On-site Kiosks from various computers each with their own configuration. Follow the steps outlined below.
Step One - Change the status of your event to On-site:
- Select your event in the RegOnline Manager screen.
- Click on the Change Status link on the dashboard at the bottom of the window. The Change Status window will open.
- Select the checkbox to Change Status Now.
- Select the On-site status from the drop-down menu.
- Once your event status is set to On-site, people will no longer be able to register for your event from the public web address or URL.
- More on Event Statuses...
- Click the Edit status message link to enter a message to display to registrants.
- For example: "We are no longer accepting online registrations at this time. New registrations can be completed at the event."
- Click OK to save the changes to the event status.
Step Two - Configure & Launch the On-Site Kiosk:
- Click the Functions tab from the Event Dashboard at the bottom of the screen.
- Click the Registration & Self Check-in Kiosk link. The Kiosk configuration window will open.
- Make the following selections:
- Edit Welcome Message - Click to modify the content or message that displays to registrants on the first page of the Self Check-In Kiosk.
- Enable barcode scanning / search by Registration ID - Allows registrants to either scan the barcode from their registration confirmation or enter their registration ID number to begin their check-in process. More on configuring barcode scanners...
- Require registrants to be paid in full to check-in - Enable this option to restrict registrants from checking in if they have an outstanding balance.
- Allow credit card payment - If the registrant does have an outstanding balance, enable this option to allow them to pay the balance with a credit card in order to proceed with the check-in process.
- Display this message if balance due exists - Enable this option to display a message to registrants if they have an outstanding balance instead of allowing them to pay with a credit card.
- Click the link to edit the content in the HTML Content Editor.
- For example: "Please proceed to the registration desk to make a payment."
- Require Password - Enable this option to force registrants to enter their password in order to proceed with the check-in process.
- Allow registrant to update profile - Enable this option to let registrants modify standard, personal information fields, such as address, company name, title, etc.
- This does not allow registrants to change other registration data such as Custom Field and Agenda Item selections.
- The First and Last Name fields can not be changed unless you have enabled Online Substitutions for your event. More info...
- Allow registrant to print badge - Enable this option to let registrants print their badge after completing the check-in process. You must have a badge printer set up at your event to handle single badge printing.
- Select Badge - Select the badge that you wish to use for this Kiosk.
- You must have at least one badge created for your event. Show me how...
- You can only have one badge selected for each computer/kiosk that you have set up at your event
- Edit Confirmation Message - Click to edit the message that displays to registrants once they have completed the check-in process.
- For example: "Thank you! Please proceed to the registration desk to pick up your badge."
- Click Launch to open the Kiosk and close the RegOnline Manager window or click Save & Close to save the settings and return to the Manager window.
- You can configure separate Kiosks with unique settings on different computers at your event.
- Once the Kiosk is launched, the Manager window will close and log you out of your RegOnline account.
- Repeat these steps on different computer stations to configure multiple Kiosks.
